All you need to know about calendar synchronisation

You list your property on several platforms and are worried about double bookings? Good news: Roomlala allows you to synchronise your calendar with your other platforms (Airbnb, Booking, Google Calendar, etc.) using the iCalendar (iCal) format. Here's how it works.

Accessing calendar synchronisation

Log in to your Roomlala account, then go to your listing's page. Click on the Calendar tab, click on the calendar you wish to synchronise, then scroll down to the "Synchronisation: calendar import / export" section.

Importing an external calendar into Roomlala

Import allows you to automatically retrieve unavailable dates from another calendar (e.g. your Airbnb or Booking calendar) to block them in your Roomlala calendar. This helps you avoid duplicate bookings.

How to do it?

  • In the calendar synchronisation section, click on "Import a calendar".
  • A window will open. Enter the calendar's name (e.g. "Airbnb" or "Booking") in the "Calendar name" field.
  • Paste the iCal address of your external calendar into the "Calendar address (url)" field. This address starts with http:// or https:// and is usually found in the synchronisation settings of the other platform.
  • Click on "Import calendar".

Roomlala will then automatically retrieve the blocked dates from the other platform and mark them as unavailable on your listing. The synchronisation updates regularly to reflect the latest changes.

Where can I find the iCal address for my other platforms?

  • On Airbnb: go to your listing's availability settings, "Calendar synchronisation" section, then copy the export link.
  • On Booking.com: in the extranet, go to "Rates & availability" then "Calendar synchronisation" and copy the iCal link.
  • On Google Calendar: open your calendar settings, then copy the iCal format address in the "Secret address in iCal format" section.

What happens in case of an error?

If synchronisation encounters a problem (inaccessible address, unrecognised format…), an "Error" badge will appear next to the imported calendar. Check that the address is still valid and accessible. If the problem persists after several attempts, synchronisation will be automatically deactivated. You can then delete it and create a new one with a corrected address.

Exporting your Roomlala calendar to another platform

Export works the other way around: it allows your other platforms to retrieve the unavailable dates from your Roomlala listing.

  • In the synchronisation section, locate the line "Export link for your Roomlala calendar".
  • Click on "Copy" to copy the link to your clipboard.
  • Paste this link into the synchronisation settings of your other platform (Airbnb, Booking, etc.), in the area provided for importing an external calendar.

The other platform will regularly consult this link to update its availabilities based on your Roomlala calendar.

Two-way synchronisation

For complete synchronisation between Roomlala and another platform, both operations must be carried out:

  • Import the other platform's calendar into Roomlala (to block dates booked elsewhere).
  • Export your Roomlala calendar to the other platform (to block dates booked on Roomlala).

This way, your availabilities remain consistent everywhere, regardless of the platform on which a booking is made.

Deleting an imported calendar

If you no longer wish to synchronise an external calendar, click on the delete icon (bin) next to the relevant calendar in the import list. The unavailable dates from this calendar will be automatically removed from your listing. Your manually blocked dates and your Roomlala bookings will not be affected.

Good to know

  • Roomlala is compatible with iCalendar (iCal) format calendars, used by most rental platforms and calendar applications.
  • You can import several external calendars for the same listing.
  • Synchronisation takes into account events up to one year in the future.
  • If you don't update your calendar for a long period, Roomlala will send you an email reminder to prompt you to check your availabilities.
  • Manually blocked dates on your Roomlala calendar are never modified by synchronisation.
